Volunteer Information


Required Service hours for the 2025-2026 season:

Intro:

Suggested one (1) shift during the Intro Jamboree


U8 (Blue, White & Red):

16 hours

Max buy out: 8 hours, buy out fee: $30/hour

Assistance during your skater’s level home jamboree


Squirts, Peewee, Bantams, U10/U12/U14 Girls:

26 hours

Max buy out: 13 hours, buy out fee: $30/hour

 

*Family Maximum: Defaults to the highest level for your immediate family.

Example:

2 U8 skaters = 16 hours

1 U8, 1 Bantam – 26 hours


*The Volunteer season runs from March 4, 2024 – March 2, 2026. All service hours must be claimed prior to January 19, 2026 and completed prior to March 2, 2026.


***Families that fail to comply will result in the skater(s) ineligible to skate for any remaining practices, games or tournaments, including playdowns and state starting January 20,2026 until the service hour requirements are satisfied. If at any time, after January 20, 2026 you fall below the required service hours your skater will be immediately ineligible to skate.


Out of Season Volunteer Hours Schedule:


(Late September) – Evaluation Week Assistance

May 1st - Mosey-Leppen Adult Tournament

(Mid June) – Golden Sands 50/50 Tickets

**There is no Riverfront Beer Tent hours this summer**

Regular Season Volunteer Hours:

Volunteer Hours will be posted about the 1st and 15th, by 8a of each month throughout the season.

**Note: If the 1st or 15th falls on a weekend, those hours will be posted on the Monday following.

FEES

Buy out Fee: $30/hour, can pay at any time

No show fee: $50/hour*

Uncompleted service hours: $50/hour

No show fees and uncompleted service hour fees must be paid within 7 days, if not the skater(s) will be ineligible to skate.


**First no show is $50/hour. Each additional no show will increase by $50/hour. (Ex: First no show - $50/hour, second no show, $100/hour, third no show, $150/hour, etc)



Eligible Service Hours


Concessions, rink cleaning, Mosey-Leppen non concession hours and various shifts will be posted within the system. Various out of system credits will be provided for:

*Olympia Drivers: 0.5 credit for each resurfacing. Please sign your name legibly on the Olympia form.

*Board Members: All credit, minus 6 hours provided. (U8 – 10 hours, Travel – 20 hours)

*Team Rep: U8 team reps earn 10 hours, travel team reps earn 20 hours. Co Team Reps will split the total hours.

*U8 divider boards: 15 minutes for each set up and take down. Sign in on the wall in the Zamboni room

*Fundraising hand out

*As requested via email blast: Should we need volunteers to assist in projects around the rink. Details, quantity and claiming hours will be provided in the email.



Coaching:

Coaches need to be approved and coaching requirements must be met prior to service hours being credited. All travel coaches must be approved by the board during evals and rostered, with a maximum of 4 total coaches per team (1 head coach, 3 assistant coaches).

*Travel (Squirt/U10 Girls & U14 Girls) Head Coach: 26 hours

*Travel (Squirt/U10 Girls & U14 Girls) Assistant Coach: 20 hours

*U8 Coaches (approved by coaching committee): 10 hours

*Out of season coaching – Hour per hour, must sign in on the coaching room door



GENERAL INFO:

Should Volunteer Hours be cancelled credit will be given as such:

Over 36 hours – no credit provided.

24-36 hours – 1 credit hour per shift scheduled.

Under 24 hours - ONLY due to snow or school cancellation – full credit provided.

Golden Sands weather cancellations under 36 hours is 1 credit hour per shift scheduled.

Should Volunteer Hours need to change due to schedule, hours will be provided for the hours worked. The remainder of the hours follow the rules stated above.

*Any SPAYHA member that claims a Volunteer shift and fails to meet their obligation of the Volunteer shift will be billed $50/hour claimed (*See fee schedule above). All no show payments must be paid within 7 days or your skater is ineligible until the fee is paid. Your obligation is to the concession stand, checking up on the score of a game is okay, watching a game is not.

*The system allows members up to 14 days prior to cancel out of a Volunteer Shift.

*You must sign in at the time of your shift or you will not be provided credit for those hours.

*SPAYHA members must be 13+, and trained by Jen Melville or Kelli Pavelski, to receive credit for a Volunteer Shift.

Teens (13-18 years) may only claim shifts classified as “Concessions (Teen or Adult)”.

No credit will be given for any teen who worked a “Concessions (Adult)” shift. No exceptions!

*Each family is required to utilize the Volunteer system to sign up for their service hours. In order to receive credit for your service hours, you must sign in and use the Crossbar profile of your skater. Overlapping shifts are not allowed, if you'd like to double up shift, you'll need to notate the additional person(s) that will be working. 





**Volunteer assistance is pivotal to ensure our skater fees remain low. Each travel team will have Volunteer hours posted for 14 home games. Any games past those 14 (referred to as bonus games), or games in which there are no Volunteer Hours claimed, is the responsibility of that team to open and staff concessions for before, after and during the game. All teams do have tasks assigned during the season which do not count for each family’s contribution that are essential to a successful season. Those include, but are not limited to:


Home game duties (Game Sheets, Clock, Penalty Box, Concessions (if shifts are not filled))

Rink Cleaning weeks

Bonus Game Concessions

Tournament Set up/Take down, Raffle table

**Teams who host a jamboree or tournament, including state, are responsible for all jamboree/tournament duties. These hours do not count towards your family’s service hour obligations for our association.


**Teams who choose to not open concessions when there are open shifts, or for any bonus games awarded, will not be eligible for any future bonus games for the remainder of the season. If bonus games are scheduled, they will be cancelled.



Working Hours for another SPAYHA Family


While we need each and every family’s assistance in working Volunteer Hours, we understand every family unit has their own needs. Should you wish to hire someone to work your service hours, please contact Heather McKnight (gothnagel@gmail.com) for any questions and the list of trained, and approved, concessions workers.


All hours worked for another family need to be signed up under the skater profile of the family in which the hours need to be credited towards. We do not allow the transfer of completed/earned service hour credits.

Thank you for your continuous support in ensuring our rink is clean and concessions are available for our players, their families and guests visiting our rink. Fulfilling these essential tasks helps to keep registration costs down and our non-profit organization functioning year-after year.
